Job Summary
We are looking for a Receptionist to co-manage our front desk on a daily basis and to perform a variety of administrative tasks. You will work closely with our current receptionist and be the first point of contact for our firm.
Our Receptionist’s duties include offering administrative support across the Practice. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a Receptionist, you should have a pleasant personality, as you will be speaking with our clients on a day to day basis. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and being able to prioritise is essential for this position.
Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
Collecting DX mail from DX office (Bank) in the morning (twice a week) and dropping off any DX mail to DX office at the end of the day when required;
Greet and welcome guests as soon as they arrive at the office, making the staff member aware of their arrival and directing them to the relevant meeting room/seating area;
Answer, screen and forward incoming phone calls. Taking detailed messages when a member of staff is unavailable.
Outgoing post – franking and sending out/ special or recorded to the post office
Arranging couriers and parcel services
Ensure reception area and meeting rooms are tidy and presentable
Providing refreshments for guests
Provide basic and accurate information in-person and via phone/email
Checking overnight voicemails and general enquiries inbox frequently throughout the day and forwarding to the correct person/department
Maintain office security by following safety procedures and controlling access via the reception desk
Archiving closed files from case management system and arranging for files to be sent to remote archive storage facility;
Ordering office stationery and business cards
Preparing invoices and taking payments (training will be provided)
Arranging office appointments and booking meeting rooms for fee earners and updating diaries
Ensuring Kitchen and office supplies are stocked, including general office refreshments
Assisting the Criminal Defence Department in opening of new case files onto the case management system (training will be provided)
Requirements
Proficiency in Microsoft Office
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritise tasks
